Analytics Board and Report Scheduling

You can receive data from Analytics automatically by creating a schedule to email an entire board or by setting and scheduling alerts for individual KPI-based reports. These features help you track critical trends and metrics without signing in to the console daily.

Creating an Email Schedule for a Board

You can schedule full Analytics boards—including custom views—to be sent by email on a recurring schedule. Scheduled boards are delivered as attachments in the format you select.

To set up a recurring email schedule for a board, complete the following steps:

  1. In the console, select Insights → Analytics.
  2. Navigate to the board you want to schedule.
  3. At the top right of the board, select Schedule.
  4. From the drop-down list, select Create schedule.
  5. In the Set up schedule dialog, configure the schedule:
    • Schedule name: Enter a name for the schedule.
    • Send every: Select a frequency: N minutes, Hour, Day, Week, or Month.
    • Time: Select the delivery time using a 24-hour clock. The default is 09:00.
    • Attachment type: Choose PDF, XLSX, or CSV.
    • Recipients: Enter one or more email addresses. Use commas to separate them.
    • View (optional): Select a custom saved view to apply filters to the scheduled board.
  6. Select Create to save the schedule.
Note: You can send scheduled boards to the email address used at login or to manually entered addresses.

Managing Board Schedules

To modify or delete a board schedule, complete the following steps:

  1. At the top right of the board, select Schedule.
  2. Select Manage schedules.
  3. Edit or delete existing schedules as needed.

Creating and Scheduling Alerts for KPI Reports

You can create and schedule alerts for individual reports that are based on a KPI. These reports may include numeric values or visual indicators, but alerts are triggered by underlying performance metrics. Alerts can notify recipients when a condition is met, on a regular schedule, or both.

To create and configure alerts for KPI-based reports, complete the following steps:

  1. In the console, select Insights → Analytics.
  2. Find the report that you want to create an alert for.
  3. At the top of the report, select the Monitor icon (bell) or select from the menu.
  4. In the alert panel, enter a Name for the alert.
  5. Configure the alert settings:
    • Threshold condition: Trigger the alert when the KPI meets a specific condition.
      • Select a comparison operator (for example: equals, greater than, less than).
      • Enter a Threshold value.
      • Change the time the condition is checked, if needed.
    • Schedule: Send the alert on a recurring basis.
      • Select a frequency: Hourly, Daily, Weekly, or Monthly.
      • The default time is 09:00. You can change this.
      • Don’t send on weekends is selected by default. You can adjust this setting.
      • You can also change the time zone (default is UTC).
  6. Enter the email addresses of recipients. Use commas to separate addresses.
  7. Select Create Alert.
Note: Threshold and schedule options are part of the same alert. The alert will send when either condition is met.

Managing Alerts

To view, edit, or delete alerts, complete the following steps:

  1. Open the report where the alert was created.
  2. Select the Monitor icon.
  3. Use the alert panel to manage your alerts.
Reminder: Alerts can be sent to your login email or manually entered addresses. They are not restricted to internal users.
